The 4 Best Dynamics 365 Partners That Specialize in Warranty and Claims Management

U.S.-based manufacturers paid a total of $30.37 billion in warranty claims in 2025, a 4 percent increase from 2024, according to Warranty Week's annual product warranty report. Yet in Dynamics 365 Field Service, the standard warranty record is mostly a place to track coverage: Microsoft's own documentation says warranties aren't tied to work orders, so pricing and discounts aren't applied to a work order automatically. Every manual step between a claim and a payment is a chance for cost to leak.

This guide looks at four Dynamics 365 partners that publish their own warranty and claims solutions, and explains which kind of business each one fits best.

How we picked the four

We looked for partners that do more than list "warranty" as a service. Each partner on this list publishes a named warranty or claims product built on Dynamics 365 on its own website. We then compared them on four practical questions:

  1. Product depth. Does the partner offer pre-built warranty records, claim workflows, and approvals, or only consulting?

  2. Industry fit. Is the product designed for dealer networks, vehicle and equipment makers, product sellers, or field service teams?

  3. Where it lives. Does it run in Finance and Operations, in Customer Engagement, or in Field Service?

  4. Published results. Does the partner share measurable outcomes for its warranty product?

Match each partner's strength to your own priority list. If dealer reimbursements are your biggest cost, MCA Connect moves to the top. If you build vehicles or equipment and fight claim fraud, look hard at Annata. The sections below explain each choice.

1. MCA Connect: best for manufacturer and dealer-network claims

The Warranty and Claims Management page on the MCA Connect website

MCA Connect's WarrantyCONNECT is built on Dynamics 365 and designed for manufacturers that work through dealer networks. It tracks multiple warranties per finished good item, gives dealers a portal for claims, RMAs, and reimbursements, sets auto-approval thresholds by repair code, tracks component-level warranties through the bill of materials, and supports multi-level approval workflows tailored to the business. MCA Connect's solution sheet adds flat-rate codes, dealer contract agreements with agreed reimbursement rates, and dealer pre-authorizations that confirm warranty validity.

The results MCA Connect reports are concrete. On its Dynamics 365 warranty and claims management page, MCA Connect says clients have achieved a 50% increase in efficiency, 40% faster turnaround time, and 40% fewer phone calls with WarrantyCONNECT, and that most clients see measurable results in as little as six weeks. The company says the solution is used by billion-dollar RV manufacturers and Tier 1 suppliers.

Speed to value is the headline. Dealers submit claims through the portal, claims under the approval threshold for a repair code can be approved automatically, and the rest go through approval workflows, so finance keeps control of spend while dealers get paid faster.

MCA Connect also brings deep supply chain experience: it describes itself as 100% supply chain and 100% Microsoft, with more than 20 years of industry experience, and it has been named a Microsoft Global Supply Chain Partner of the Year finalist three times.

2. Annata: best for automotive, trucks and buses, and equipment

Annata builds software for the automotive, trucks and buses, and equipment industries, and its A365 Warranty module is built on Microsoft Dynamics 365, Azure, Copilot, Power Platform, and Dataverse. Annata says A365 Warranty covers the whole claim lifecycle, from claim submission through validation, approval, and reimbursement, with dealers and service centers submitting claims and supporting data directly.

Its differentiator is AI. Annata says the system analyzes historical claims to detect anomalies, prevent fraud, and identify recurring product issues early, while guided workflows and automated validations reduce administrative work and speed up reimbursements.

A365 Warranty also handles recalls and service campaigns from the same platform: you can create recall letters, track affected units, and communicate with dealers without switching systems. It creates preliminary invoices automatically, so warranty charges are recorded without manual re-entry.

Focus is both a strength and a limit. Vehicle and equipment networks will feel at home, but manufacturers in other industries should ask Annata to demo a claim on their own product structure. Ask, too, how the AI flags are reviewed and overridden, and how decisions are logged for audit.

3. Argano: best for selling and managing warranties inside Dynamics 365

The Warranty Pro page on the Argano website

Argano's Warranty Pro is an extension for Dynamics 365, part of Argano's ERP Connect, that covers the warranty process from creation and sale through servicing. Argano says it works as a built-in feature of Dynamics 365 rather than an external application.

The value shows up when you sell warranties. Sales teams can attach a warranty to any product or service, and Warranty Pro supports both manufacturer and extended warranties, including warranties on third-party products. Warranties can be activated when the product ships instead of by hand.

When a customer makes a claim, Warranty Pro lets you manage it from start to finish inside Dynamics 365. Argano lists integration with RMA and return orders, product registration, and warranty reporting and analytics, including reporting on claims by product that can point to design improvements.

If your business sells warranties and extended protection, and you want claims, returns, and reporting in the same system as your orders, Warranty Pro is worth a demo. Ask Argano for a reference customer that uses it.

4. Hitachi Solutions: best for field service programs

The Microsoft Marketplace listing for Hitachi Solutions Extended Field Service - Warranty Management

When your warranty work is done by your own technicians rather than dealers, Hitachi Solutions' Extended Field Service - Warranty Management add-on for Dynamics 365 Field Service deserves attention. Hitachi says the module lets you create, administer, process, and track warranty coverage and activities against customer assets throughout their lifecycle, and show warranty and agreement coverage on cases and work orders.

Technicians get the same view in the field. The module runs on the Field Service Mobile app, with a complete mobile experience and offline support, so a technician can see whether an asset is covered before starting work. Hitachi says the module also helps collect the data needed to support manufacturer warranty claims, and lists benefits such as more accurate invoicing, a streamlined warranty registration process, and less revenue leakage from claim issues and fraud. Field teams that also watch connected devices should read up on IoT security before linking assets to service workflows.

Scale is another draw. Microsoft named Hitachi Solutions its 2025 Dynamics 365 Finance Partner of the Year, which signals depth beyond Field Service.

Hitachi's published material focuses on coverage tracking and service, not on dealer reimbursement or supplier recovery. During demos, ask to follow a technician-created claim from the work order through approval and into the general ledger.

Other options to consider

Three more partners publish warranty products for Dynamics 365 that may suit a narrower need:

HSO. Its Advanced Field Service add-on extends Dynamics 365 Field Service across cases, customer assets, agreements, work orders, and invoicing. HSO says it detects warranty and agreement coverage automatically to improve billing accuracy. It is a good fit if your main aim is to stop billing customers for work that should be covered.

Sonata Software. Its Warranty Claim Agent lets customers submit claims through a guided bot, checks eligibility against entitlements and warranty coverage, and uses Copilot to flag anomalies and possible policy violations before sending a summary to a human approver in Microsoft Teams. Approved claims are routed into field service work orders. Ask for a pilot with clear exit criteria.

Specialist add-ons from smaller firms. Several smaller Dynamics 365 consultancies sell warranty accelerators for Field Service through Microsoft Marketplace. Check that the product is described on the vendor's own website and ask for a live reference before you commit.

Specialist vs. generalist: which partner model fits you?

Think of the choice this way:

  • Specialist warranty partners, such as MCA Connect and Annata, arrive with pre-built claim workflows and industry data models. Discovery is shorter because the team already speaks your language.

  • Large, broad systems integrators, such as Hitachi Solutions or HSO, bring global delivery, program governance, and experience across many Dynamics 365 apps. That helps if warranty is one part of a wider ERP or service program.

Rule of thumb:

  • If dealer authorizations and reimbursements are your biggest headache, start with a specialist warranty partner.

  • If warranty is just one workstream in a multi-country ERP program, the governance of a large integrator may be worth the extra discovery time.

Whichever path you choose, ask the finalist to run your own serialized product, bill of materials, and contract data through a live claim. A short demo with real data will reveal gaps faster than any slide deck.

Technical architecture: start with the system of record

Warranty software fails quickly when master data lives in two places. Before you admire any portal, agree where the truth about serial numbers, BOM components, and warranty contracts will live.

  • If Finance and Supply Chain Management already stores your serialized products, forcing dealers to register claims in Dataverse can create reconciliation work.

  • Flip the model and field technicians may lose real-time parts history.

The rule is simple: pick one system of record, synchronize the others, and document how conflicts are resolved and who signs off.

Ask every Dynamics 365 warranty partner to whiteboard three flows with your own data:

  1. Claim submission

  2. Entitlement validation

  3. Financial posting

Mismatched keys, missing product hierarchies, and timing gaps show up quickly, and fixing them now costs far less than change requests after go-live.

Buyer decision checklist

Use this test to pick the Dynamics 365 warranty partner you will work with for years.

1. Replay your claim flow. Give every finalist the same script:

  • A dealer files a claim on a serialized unit.

  • One sub-component carries a different warranty period.

  • Photos and an invoice are attached.

  • Two approvals are triggered.

  • Part of the cost is recovered from the supplier.

If any step becomes "we'll customize that later," be careful.

2. Check delivery reality. Ask:

  • Who is the named solution architect?

  • How many projects has that person led on this exact product?

  • How are Microsoft's regular updates tested before they reach production?
Experts answer with dates, tools, and names.

Written checklist:

Business

  • Multiple warranties per product

  • Dealer or customer portal

  • Automated reimbursements

  • Supplier recovery

  • Analytics dashboards

Delivery

  • Named architect and team CVs

  • Live reference using the same product

  • A written plan for testing Microsoft updates

  • Clear change-order process

Conclusion

Only a few Dynamics 365 partners publish their own warranty and claims products: MCA Connect's WarrantyCONNECT for manufacturers that work through dealer networks, Annata's A365 Warranty for automotive, trucks and buses, and equipment, Argano's Warranty Pro for companies that sell and manage warranties inside Dynamics 365, and Hitachi Solutions' Field Service add-on for technician-led service. Start with your system of record, match the partner model to the way your claims really flow, and use the checklist above to pick a partner that closes warranty leaks today and scales with your business.
